This full-time position is responsible for financial support for the Facilities department and construction projects. The ideal candidate will have experience in and enthusiasm for financial analysis, construction payment application, invoice processing, report creation and customer service.
- Analyze accounts, transactions and data to determine accuracy and to understand trends. Proactively make recommendations for improvements. - Develop and review processes and procedures, and proactively make recommendations for improvements. - Evaluate and review work order and purchase order requisitions, invoices, payment applications, check requests, deposits, funding, cost and charge adjustments, and process as needed. Approve financial transactions up to a specified dollar amount. Analyze proposals and costs to determine classification as capital or non-capital. - Verify and track conditional and unconditional waivers and releases, and work with Project Managers to ensure all waivers are received in accordance with Institute policies. - Determine appropriate set up of project funding in Oracle, e-Builder and AiM CPPM project management systems, and process accordingly. - Design management reports and conduct special accounting projects as needed. - Prepare complex reports for operations and plant funds. Analyze history and identify trends to support decision making of management. - Provide leadership and guidance to support personnel in facilitating operational efficiency. - Assist internal and external customers courteously, promptly and professionally. - Interpret and effectively communicate accounting and purchasing polices to staff and customers; recommend appropriate action to be taken. - May provide additional administrative and financial functions as needed. - May provide assistance to internal and/or external auditors regarding audits of financial transactions, policies, procedures, and practices. - Other duties as assigned
- Bachelor's degree or equivalent and at least five years' experience in accounting or finance. - Candidate must be able to communicate effectively in writing, by phone, and in person with people throughout the Institute and outside Caltech. - Solid knowledge of accounting principles is essential. - Outstanding oral and written communication skills and ability to work effectively with fellow employees and management is required. - The successful candidate must work with a high degree of detail and must be able to organize, manage and prioritize multiple tasks and deadlines. - Experience with MS Office programs essential. - The selected candidate must pass a pre-employment background investigation to be hired for this position.
- Experience with Oracle, Cognos, and/or AiM is preferred.
