A boutique property management firm is seeking a commercial Property Manager who will be responsible for day-to-day operations and financial management of a two-building office portfolio in downtown San Francisco. This role reports directly to the Senior Property Manager (SPM) and oversees all administrative and accounting duties necessary for the efficient operation and management of the two buildings; including tenant/vendor relations, lease administration, accounts payable, accounts receivable, financial reporting and team support. Requires excellent analytical, project management and independent problem-solving skills. Must be self-motivated with a willingness to exceed expectations of the tenants and clients we support, with an ability to prioritize multiple responsibilities, solve problems and exercise discretion. An ability to communicate effectively and frequently with the Senior Property Manager and Partners on all significant operating issues based on the buildings, clients, and tenants is required.
Essential Duties •Serve as first point of contact for communications with tenants and owner representatives •Oversee, prepare and maintain lease files •Maintains a detailed knowledge of lease agreements and administration of related documents • Code, allocate and approve invoices in appropriate expense cost centers •Prepare and review financial reports for clients on a monthly, quarterly and annual basis per the requirements of the management service agreements •Perform G/L account analysis, reconciliations, and forensics to identify amounts inconsistent with annual operating budgets •Prepare and review annual budgets, business plans and year-end reconciliations •Review aged delinquency reports and tenant leases to calculate and apply late charges as needed •Monitor certificates of insurance status regularly for all tenants and vendors to ensure compliance •Arrange alterations, maintenance, upkeep, or reconditioning of buildings as specified in the operating budget, management plan/or management service agreement, or as required under the specific tenant leases •Review and recommend the purchase of supplies and equipment for use in managed buildings •Act as primary contact for service contractors and vendors. Competitively bid, negotiate, prepare for execution, and maintain standard service agreements •Direct engineering and maintenance staff to assign duties such as maintenance, repair, or renovation and obtains bids from outside contractors, as required by the management service agreements •Prepare and review periodic inventory of buildings' contents and property conditions for review by SPM •Inspect buildings and equipment to determine vendor compliance and extent of services and equipment needed. Recommend, justify, develop and coordinate projects that enhance the value of the buildings •Prepare and administer, in conjunction with the SPM, annual property audits •Manage and track tenant improvement and building projects with minimal supervision •Develop and administer annual emergency and evacuation program and procedures (i.e. annual fire drill) •Provide suggestions and feedback on how to improve processes/products in a constructive and effective manner •Special projects as requested
Associates or Bachelor degree required. Minimum of three (3) years of commercial - office real estate experience including budget preparation/financial reporting, familiarity with building systems, lease administration, and customer service at an Assistant Property Manager level or higher.
