Summary:An international real estate company with over 80 buildings worldwide, is looking for a Property Manager to oversee a 400,000rsf Class A office building in downtown San Francisco. The Property Manager will supervise the entire operation and maintenance of the building, property or portfolio of properties, and ensure that income is maximized, expenses are minimized, and total value of the asset(s) is maintained at the highest possible level. The Property Manager is also responsible for sustaining occupancy through tenant retention and assisting in the marketing of vacant spaces. Essential DutiesGeneral Office :•Represent the property or properties to the general public, trade associations, charitable organizations, etc.•Remain updated on legislative changes affecting commercial real estate.•Maintain general knowledge of market conditions and competition, including lease rates, lease concessions, vacancy and absorption.•Supervise, manage, counsel and evaluate building staff (Maintenance Engineers, Security, & Janitorial Day porters).Property Management•Regularly inspect properties and take any necessary steps to ensure it is maintained at an optimum level.•Ensure safety and protection of building occupants and property through supervision, training and carry-through of building security procedures and emergency procedures.•Collect all rent, operating expenses and tenant sundries in a timely fashion under the lease terms; enforce the same. Prepare monthly AR report for Asset Managers.•Monitor customer payments to rapidly identify potential problems and take appropriate steps to minimize the financial impact for the properties.•Negotiate cost effective service contracts and maintenance services for review and approval.•Review, verify, and approve all project expenses within the budget limits provided by the Asset Manager/Owner.•Ensure all bills are processed accurately with the accounting team in a timely fashion.•Be familiar with all unique provisions of existing leases to prevent legal problems.•Monitor lease expirations and advise Asset Manager. •Contract and supervise tenant improvement/capital projects as requested by Owner/Asset Manager. Upon request, monitor their construction and progress to ensure completion within the appropriate time frame and budget.•Assure all insurance certificates for all customers/vendors are current to protect Owners from liability. Customer Service and Relations•Handle customer requests and complaints quickly and see that they are resolved to the customers’ satisfaction.•Visit customers at least monthly in order to:-establish rapport and create a long-term relationship.-become familiar with customer businesses to anticipate any payment problems.•Document visits by preparing a property inspection report.Financial Reporting & Asset Management•Prepare monthly variance reports and submit financial reports to assigned Asset Managers for review.•Prepare annual budgets and prepare the year-end operating expense/CAM reconciliations.•Prepare quarterly Asset Management report of operations. Meet with Asset Manager and report/update on operations.•Assist with other financial reporting and or requests as needed.Leasing and Lease Administration (in conjunction with Owner/Asset Manager)• Pre-leasing:-Obtain bids for projected tenant improvements for vacant space as requested by AM.-Contract and manage work for preparation of vacated spaces as request by AM.- Assure that all vacant spaces are maintained in clean condition and presentable for showing to prospective tenants.•Leasing:-Assist in touring prospective tenants through vacant spaces.- Assist with LOIs and lease negotiations.-Prepare lease abstracts of all new lease documents to be submitted to accounting for input into Yardi.Qualifications:•Superior skills in customer service and excellent oral and written communication skills•Previous experience supervising employees•Previous experience in budgeting/financial reporting and ability to perform analysis and projections as routinely required•Minimum of 4 years property management experience managing different real estate property types•The employee is occasionally required to lift up to 25 pounds•College degree•Ability to represent the property owner in a professional manner in all dealings with customers, brokers and vendors•Required to maintain a current sales or broker’s licenseRequired to remain current on real estate license continuing education requirements•Ability to understand and grasp complex real estate and corporate issues and formulate reasonable conclusions in order to execute plans•Must be proficient with the Internet, E-mail, Word, PowerPoint, Publisher, and Excel. Use of Yardi accounting preferred but not mandatory
