This is a full-time (1.0 time-base), benefits eligible, permanent (probationary) position. This position is designated non-exempt under FLSA and is eligible for overtime compensation. Standard SDSU work hours are Monday – Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
Administrative Support Coordinator – Under general supervision of the Facilities Service Center Manager, performs the full scope of Facilities Services Operations and Service Center activities including initiation, execution, coordination, implementation, and evaluation of the entire work management process.
Objectives – Provides courteous, reliable, and efficient professional services and support to the campus and Facilities Services. Provides prompt response and resolution of emergency work, accurate documentation for all projects under the coordination of Facilities Services, and promotes a continually improving relationship between Facilities Services and campus customers.
Expectations - Proper completion of routine work assignments and performance of additional duties as assigned. Consistent meeting of university needs in a timely and professional manner with increasingly improved skill. Follow-up on every project or task to insure that all items are completed to the satisfaction of the FS Director. Maintains a responsible attendance record and consistently meets deadlines. Builds and maintains internal and external customer satisfaction with the products and services offered by the organization. Seeks customer feedback, is responsive to customers and takes appropriate action for the situation.
Performs work in a manner that supports and facilitates the work of others in Facilities Services and the university community. Maintains a positive and cooperative working relationship with members of the department and campus community by practicing individual dignity, using tact and diplomacy, and always being respectful and civil. Uses respectful communication when dealing with people in all situations and demonstrates restraint, fairness and firmness. Works effectively to understand by carefully listening to understand prior to being understood.
Must be able to effectively communicate and successfully interact with a variety of individuals in a diverse environment at all levels of the organization. Must be able to perform strenuous physical work; utilize mechanical aptitude and motor coordination. Ability to maintain confidentiality and work appropriately within the department hierarchy communicating effectively to resolve problems and proactively resolve conflicts or disagreements in the workplace; make suggestions and ask pertinent questions to facilitate effective communication. Ability to implement safety procedures, resolve problems and improve safety in the workplace. Works to instill in others the importance of workplace safety rules and regulations and takes appropriate actions and addresses those hazards accordingly.

Compensation and Benefits
Starting salary upon appointment not expected to exceed $3,047 per month. CSU Classification Salary Range: $2,846 - $4,998 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Preferred Qualifications and Specialized Skills
Previous experience using a computerized maintenance management system consisting of work orders, preventive maintenance, deferred maintenance and work scheduling for a large complex organization.
Ability to work in an environment with distractions and consistently changing priorities.
Previous experience dispatching in a high volume call center.
Working knowledge of Facilities Services or similar operational environment and understanding of construction and maintenance work scheduling and coordination; familiarity with building trades, associated language, maintenance materials and purchasing practices.
Ability to perform mathematical computations for labor hours, labor rates and material costs on work performed by various trades.
Excellent verbal and written communication skills; ability to use tact and diplomacy while exercising good judgment with individuals at all levels in person, in writing, by telephone and through electronic means.
Must have a high-level proficiency in spreadsheet and word processing applications, such as MS Excel and Word and must have the ability learn all aspects of an automated maintenance management system.
This position requires substantial maturity, highly developed interpersonal and listening skills and the ability to defuse potentially volatile situations in a satisfactory manner.
