The Lawrence J. Ellison Institute for Transformative Medicine ofÂ USC is seeking a talentedÂ Facilities CoordinatorÂ to join its team. This individual will help lead in the establishment of the corrective, preventive, and calibration work order management system for our new facility in west Los Angeles.Â This individual will be a member of the Facilities and Operations team that is a diverse group of innovative and talented professionals who provide high quality facilities maintenance and management services in support of cancer treatment, education and research at USC. Facilities and Operations is committed to being fully responsive to the needs of faculty, students, staff and public, who are our customers. Â The facility will enable the Ellison Institute to house the clinic, leading-edge research laboratories, community learning, arts and education in a unique collaborative environment.
The Facilities Coordinator is responsible for coordinating preventive maintenance programs for mechanical, electrical, plumbing, fire protection, and door hardware/security infrastructure equipment and systems of Ellison Institute facilities.
The ideal/preferred candidate for the position of Facilities Coordinator meets the following criteria:
Associates Degree or equivalent preferred (e. g. related undergraduate study / specialized technical training); however, combined experience/education as substitute for minimum education
3 years of experience in mechanical, electrical, or plumbing trades
Familiarity with facilities maintenance/management operations within the University environment preferred
Knowledge of computer software for record maintenance (e. g. CMMS / FAMIS); proficiency in spreadsheets (e. g. Excel) and communications software (e. g. Outlook) preferred
Assists in developing and implementing deferred maintenance and preventive maintenance programs.
Coordinates corrective and preventive maintenance programs for mechanical, electrical, plumbing (M. E. P), fire protection, door hardware/security systems. Ensures that all preventive maintenance standard operating procedures (SOP s) are being adhered to.
Determines and acquires materials, equipment and supplies needed to perform planned maintenance. Forecasts parts and supply needs for scheduled maintenance.
Oversees/leads unit employees; schedules, assigns, and prioritizes workload. Coordinates schedules and assigns work orders to preventive maintenance crew (works with Trades Supervisors for staffing logistics); inspects work for completion and quality assurance.
Oversee the review and establishment of service contracts for the facility and equipment.
Interacts with University departments and/or outside contractors and vendors for facilities operations, maintenance, construction and renovation projects.
Conducts routine maintenance inspections of facilities M. E. P and related systems/equipment for deficiencies, safety hazards and/or code violations. Conducts inspections of facility equipment, and coordinates required install/maintenance/repairs.
Operates computer software related to management information systems, scheduling, parts ordering, procurement, and vendor services. Ensures that all proper documentation is entered into the computerized maintenance management system (CMMS, FAMIS).
Assists with coordination of facilities year-end closing activity. Provides management with information for budget reports, as assigned.
Assists in conducting safety inspections and providing health and safety equipment. Maintains records for compliance with government and University regulations.
Coordinates security surveys. Assists in resolving security concerns. Recommends appropriate changes to procedures for facilities access in regards to key issuance and record maintenance.
Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.
The work schedule for this position is: Monday through Friday from 7:00 A. M. to 3:30 P. M.; however, note that work schedules/hours may change at any time to meet business needs.
