The Project Management Analyst (PMA) position is part of the UCSF Real Estate Finance, Administration and Operations unit and is responsible for providing project support across the department. The PMA plays an integral part of the life cycle of projects by supporting the project team, providing oversight and coordination of tasks, contributing to project planning, preparing and maintaining documentation, reviewing contracts and financials, monitoring project activities, and analyzing the overall project.
The PMA frequently interacts with the UCSF internal departments (such as the Finance Service Center - Capital Accounting, Supply Chain Management, Facilities, Budget Office, etc.) as well as consultants and contractors playing an important role in both internal and external coordination of activities and communication, while adhering to University policies and procedures. The PMA contributes to continuous improvement with standard processes by identifying inefficiencies and recommending solutions when needed.
The PMA must thrive in a team-based environment; be customer service oriented, excel at verbal and written communication, while being politically and socially aware, patient, and collaborative. A self-starter with the ability to look at the big picture, analyze, and plan ahead is highly desired.
Major duties include:
* Support Project Managers, Space and Capital Planners, Real Estate Officers with various construction, studies, leased space facilities management projects, etc.; from project initiation, procurement of goods and services, maintaining project documentation and business system records
* Analyze, monitor, and maintain project data from various systems and produces ad-hoc reports and analysis
* Prepare funding request letters and budgets for client approval
* Coordinate Building Permit Service activities (ie. Plan Review, Permitting, etc.)
* Support Building Permit Services with Plan Review and Inspection contracting needs: RFQs, Blanket Agreements, project specific agreements, etc.
* Manage contractor and consultant affiliations; monthly coordination with Project Mangers/Planners/Facilities Managers; includes monthly reporting, extensions, managing door access requirements
* Coordinate recharge activity for internal UCSF departments such as Environment Health and Safety (EH&S), Information Technology Services (ITS), University of California Police Departments (UCPD), etc. for projects, studies, Building Permit Services, and Facilities Managers (leased space).
