Knight-Hennessy Scholars program
Knight-Hennessy Scholars (KHS) cultivates and supports a highly-engaged, multidisciplinary and multicultural community of graduate students from across Stanford University, and delivers a diverse collection of educational experiences, preparing graduates to address complex challenges facing the world. Knight-Hennessy Scholars become part of a supportive community of fellow scholars, receive funding for graduate study at Stanford, and participate in the King Global Leadership Program, which provides a collection of community experiences, workshops, meetings with leaders, domestic and global study trips, and personal development opportunities.
Job Summary
The Director of Facilities Management, Design, and Construction is responsible for leading the management of facilities projects and maintenance, for Denning House to ensure optimal facility utilization, safety, quality standards, and aesthetics; as well as other operational projects in support of Knight-Hennessy Scholars programs.
Reporting to the Executive Director, the ideal candidate is a creative problem-solver and an enthusiastic team player with strong oral and written communication skills. They will exhibit solid judgment and the ability to navigate ambiguity. A successful candidate will also exhibit a commitment to excellence in a fast-paced, start-up-like environment.
Primary Responsibilities
Design and Construction Projects
-
Serve as primary contact and responsible for the successful execution of facilities projects, including project feasibility studies, programming, design, construction management, cost estimates, schedules, and contract administration -
Manage the selection process and contract negotiations for contractors, and project related vendors. Manages, assesses, and documents project scope, describing the objectives, physical requirements, parameters, and constraints of the project, including the user's functional requirements and safety, operations, maintenance, quality standards, and aesthetics -
Engage Stanford Land Buildings and Real Estate as required -
Conduct project meetings to discuss and resolve issues relating to requests, submittals, substitutions, schedule, and quality of work -
Prepare and maintain accurate, coherent, timely, and project records/files -
Provide leadership, coordination, and support to vendors working on projects -
Oversee budget planning for assigned portfolio including providing various reports summarizing the financial, operating and capital expenditure activity -
Ensure the completion of construction within budget, on schedule, and meets all program objectives and appropriate regulations -
Manage communications on a regular and timely basis, ensuring that all project participants are informed of project status, problems, and required actions -
Create and maintain dashboard for projects -
Coordinate needed building disruptions and shutdowns with events and program schedules -
Communicate with key stakeholders and executive committees as needed
Facilities Maintenance

Serve as primary contact and responsible for managing the repair, maintenance and daily facilities needs -
Select vendors and secure bids on approved, operating and capital budget items that pertain to building equipment/systems, maintenance, engineering and tenant services -
Ensure completion of maintenance work in accordance with established industry standards and in compliance with safety regulations and building codes -
Implement and maintain preventative maintenance program -
Review and approve maintenance, engineering and utility invoices for cost, accounting, amount and completion and construction work performed by contractors -
Create and maintain dashboard for ongoing projects and routine maintenance -
Communicate with key stakeholders and executive committees as needed
Program Operations

Serve as project manager of multiple activities related to the King Global Leadership Program -
Serve as logistical lead on a variety of complex events for the program -
Direct development of an action plan, and estimate requirements for resources, including management, labor, materials, and timelines
Minimum Requirements (education and experience)
-
Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. -
Five or more years of extensive relevant professional and managerial experience in an environment with a variety of building types (administrative offices, classrooms, laboratories, residential & dining facilities, auditoriums, etc.).
Strongly preferred:
- Master's Degree and 10 years of experience in facilities management, planning, design, and construction, or combination of education and relevant experience
Required Knowledge, Skills and Abilities

Ability to establish and maintain effective relationships with widely diverse groups, including individuals at all levels both within and outside the organization and gain their cooperation -
Ability to plan, organize, direct the work of consultants and vendors -
Ability to prioritize work by making informed judgments and to develop solutions for complex problems -
Ability to utilize project management tools -
Knowledge of CAD system, estimating, cost control, scheduling, construction administration, quality control, specification writing, and space planning -
Knowledge of regulatory requirements related to areas of functional responsibility -
Knowledge of technical, professional and business processes in the fields of architecture, design, and construction -
Knowledge of building systems, building codes and safety requirements -
Excellent customer service and interpersonal skills -
Ability to prioritize and multitask -
Excellent critical thinking skills and the ability to foster teamwork -
Ability to create clear and effective graphic presentation documents.
