Overview of The Role
The Director of Finance reports to the Head of School and is a member of the school's senior leadership team. This member of the School's Management Team is responsible for managing the financial resources of the school and for directing the operations of the Chartwell School Business Office.
The Director of Finance serves as the Head of School's strategic business partner providing both fiscal and operational analysis and support. Over the next few years, Chartwell is anticipating significant growth, including the building of a new campus on an adjoining parcel of our property. It will be important for the Director of Finance to work closely with the Board and Leadership team to evaluate strategic growth initiatives.
The Director of Finance also works collaboratively with the school's senior leadership team as well as the Finance Committee, Audit Committee, Investment Committee and the Board of Trustees to ensure that the school's finance and operations functions support Chartwell's mission, core values, and strategic plan.
The Director of Finance coordinates the reporting and meetings of the Finance Committee and the Audit Committee.
Quantitative Scope
- Annual Operating Budget: $6 million
- 60 acre campus in Seaside, California
- Development of new high school campus in early planning stages
- 50 employees
- California Department of Education Non-Public School approved to take district placed students; WASC and CAIS Accredited Private School for Privately placed students.

Managerial Responsibilities
Direct reports of the Director of Finance include Accounting Manager and Business Office Manager, whose duties include Human Resources, Accounts Payable and Accounts Receivable.
Operational Activities of The Position
Reporting
- Prepare and close monthly financial statements for distribution to the Finance Committee.
- Work closely with Accounting Manager monthly to ensure balance in all key financial measures of the school including the Operating Statement, Balance Sheet,
- Statement of Cash Flows,
- Provide each department with monthly updated P&L statements to ensure accuracy and to adjust as required.
- Ensure that items are properly categorized as capital or operating.
- Develop budget, forecasts, and long-term financial plans.
- Prepare analyses to support strategic decision making.
- On an annual basis at the close of the fiscal year (6/30), coordinate and secure the successful audit of the Chartwell financial position and records.
- Ensure that the auditor is in good standing,
- Actively participate in WASC, CAIS and NPS to remain current on all matters that are required to the operation of an Approved Private School.
- Ensure the timely filing of:
- Form 990
- State tax returns
- Local tax filings as needed
- Form 5500 and all filings required of employee benefit plans
- Other Regulatory Reporting and Compliance reporting including (but not limited to) benefit plans, 403 (b) plans and insurance requirements.
- Twice during the year, (at completion of the annual audit and then again in May), coordinate a call with the Chartwell School Audit Committee.
- Annual Call - Held at completion of the annual audit and includes the committee and the school's auditor. Focus on the annual audit and the findings and recommendations of the audit.
- May Call - Discuss preparations for the upcoming annual audit.
Responsibilities to Finance Committee and Board of Trustees
- Serve as liaison to the Board of Trustees for fiscal matters. Present budgets, forecasts, and financial results to the Board of Trustees.
- Bi-weekly calls with Head of Finance Committee (Treasurer of School)
- Coordinate reporting and monitoring of Endowment assets with Director of Advancement and external brokerage account managers at JP Morgan Chase and UBS.
- Coordination of monthly Finance Committee Calls
- Prepare and distribute agenda based upon the current calendar of events.
- Distribute latest monthly (unaudited) financial statements.
- Coordinate the materials for presentation to the Board of Trustees and Executive Committee.
Budgeting and Tuition
- Coordinate the resources and inputs required in the preparation of a pro-forma budget that will be used to determine the succeeding year's tuition.
- Tuition recommendation should be approved by the Finance Committee in the December call.
- Materials should be prepared to facilitate a full Board vote in the January meeting.
- Pro-forma budget should then be used as the basis for the development of the annual budget.
- Annual budget should be approved and recommended by the Finance Committee in the May monthly call.
- Materials should be prepared to facilitate a full Board vote in the May/June Annual meeting.
Risk Management
- Safeguard assets and minimize institutional risks and costs.
- Work with the Head of School to ensure that Chartwell School is properly insured.
- Report all findings to the Board of Trustees.
- Interview and review all vendors including Healthcare, Property & Liability, Worker's Compensation, and Investment Management.
Ongoing Responsibilities
- Fiduciary for the Chartwell School 403(b) Plan
- Coordinate annual plan audit.
- Coordinate plan fiduciary reviews.
- Financial Aid - Work with the Director of Admissions and Head of School to award financial aid grants.
- Facilities - Partner with the Campus Manager to develop prudent operating and capital budgets.
- Institutional Advancement - Partner with the Director of Advancement to track fundraising progress and goals, restricted funds, and transfers from outside accounts to support projects and programs in the Operating Fund.
- Coordination and execution of Business Office Functions
- Oversee and manage all aspects of payroll and benefit administration including medical, dental, group life, short term and long-term disability programs, worker's compensation, and retirement plans.

Qualifications
- Bachelor's degree required; degree in Accounting and/or MBA preferred.
- 5-7 years' financial management experience at a senior level is preferred.
- Experience in preparing and presenting complex financial analyses in a concise manner to senior management and board committees.
- Proven track record in developing and executing cross-functional operational plans.
- Knowledge and experience in setting up effective financial control.
- Proven financial modeling and forecasting skills.
- Experience in gathering, synthesizing, and analyzing data to provide metrics key to guiding prudent decision making.
- Experience in developing and motivating staff.
- Critical to have working knowledge of QuickBooks and Excel, as well as G-suite (Docs, Calendar, Email).
