Departmental Overview
The goal of the Office of the Registrar (OR) is to connect our outstanding students with the campus's incredible curriculum and faculty. We are stewards for mission-critical student records that support operations throughout the campus, as well as data that supports decision-making and reporting. We interpret and implement the academic and administrative policies of the campus in the areas of student registration and enrollment, produce the catalog of courses and curriculum, manage classrooms and scheduling, maintain student records including grades and graduation, and provide FERPA training.
The Office of the Registrar provides critical services that support:
Navigation: Develop public-facing enrollment planning tools featuring class searches by major requirements, open seats, instructor, waitlists and enrollment restrictions.
Discovery: Promote Suggested Classes on Twitter, highlighting under-enrolled classes; Support new academic opportunities and international programs.
Student Experience: Empower students with information on veterans' benefits, preferred name, degree completion, and policies.
The Office of the Registrar supports students, alumni, faculty, and staff. We are responsible for:
- Class enrollment & registration
- Fee assessment
- Verification of registration & graduation
- Diplomas and transcripts
- Preservation & privacy of student records
- Berkeley Academic Guide and Class Schedule
- Reservations for 200+ classrooms
- Residency determination for tuition purposes
- Aiding US veterans and service members
- Cross-registration & cross-campus enrollment
- Supporting new programs and initiatives
- Planning for future campus needs
- Ensure integrity of data that is shared across campus

Responsibilities
Classroom Event Reservation Scheduling
General Assignment Classroom
- Oversee the process for reservations of over 20,000 reservations annually in the 200+ general assignment classrooms from academic and administrative departments and student group organizations.
- Determines room assignments and adjustments, compliance and receipt of all required documents.
- Work with campus partners and students to coordinate large or complex events and devises creative solutions for unusual situations.
- Analyze reservation requests to ensure conformance with university and Office of the Registrar scheduling policies.
- Participate in the development of organizational procedures and establishment of scheduling policies and timelines.
- Utilize available technology, including email and Salesforce CRM, composes and edits correspondence to notify room users on all aspects of the special event scheduling policies.
- Manage Salesforce and UC department email account.
Work-Study Supervision/Delegation
- Responsible for supervising three to four classroom reservation student workers in all logistics and coordination of campus reservations and events.
- Responsible for hiring and training student staff, managing performance outcomes, and assisting with performance issues.
- Responsible for creating student work schedules for all shifts.
- Adjusts work schedules for vacancies, absences and is responsible for ensuring full staffing.
- Delegation daily operations and preparation of daily tasks, projects, and classroom management work.
Program Development
- Work with Associate Registrar and analyst to understand areas of improvement for the classroom reservation process.
- Provides input on operational business processes and summarizes needs and areas of improvement.
- Develop program performance objectives and measurable outcomes.
- Implement an outreach plan according to program needs and goals for expansion.
Office Administration
- Submit and track work orders for weekend events; tracks payments and purchase orders.
- Keep a detailed account of all large events through completion; delegates work tasks to student workers.
- Assist analyst with updating classroom databases, including both 25Live and Campus Solutions.
Long Range Planning and Policy Recommendations
- Participates in long-range planning for future academic terms that ensure the campus classroom supply meets the demand when campus events such as seismic construction or expanded enrollment will impact the general assignment classroom inventory.
- Determines when scheduling problems require procedural, organizational, or policy changes to maintain or improve the efficiency of the scheduling process and the utilization of general assignment classrooms.
- Develops recommendations for consideration and approval by the CCCPM.
- Other duties as assigned including backup to academic scheduling and classroom management.
Required Qualifications
- Ability to develop and maintain a positive working relationship with staff on a broad range of levels and to work productively as a member of a team.
- Demonstrated organizational skills, attention to detail, and accuracy.
- Ability to and/or ability to learn how to maintain confidentiality and security of student records, following confidentiality rules established by FERPA, the state of California, and the University.
- Experience in working in a high-volume transactional environment.
- Intermediate computing and applications knowledge of desktop and business/technical support systems.
- Ability to use multiple systems and learn new software quickly.
- Ability to maintain online forms and workflows.
- Strong oral and written communication skills.
- Ability to handle frequent interruptions and still meet competing deadlines.
- Skill in establishing priorities and handling multiple projects simultaneously while maintaining a high level of accuracy.
- Ability to interpret and implement policies and established procedures.
- Strong interpersonal skills with the ability to communicate and interact with a diverse population effectively and diplomatically.
- Excellent customer service skills with the ability to interact effectively with students, faculty, and administrative staff while displaying professionalism and tact.
- Demonstrate the ability to work both independently and as part of a team.
- Ability to research and resolve problems independently.
- Ability to adapt to changing environment, priorities, and procedures.
- Self-motivated, willingness to learn, and takes initiative to improve the quality of service.
- Intermediate to advanced knowledge of MS office suite applications, including Word, Excel, etc.
Education
- High School diploma or GED and/or equivalent training or experience.
Preferred Qualifications
- Demonstrated proficiency with and/or ability to learn common campus-specific computer applications, including 25Live, Campus Solutions, and Salesforce.
- Comprehensive knowledge of and experience with and/or ability to learn the campus classroom inventory (both general assignment classrooms and departmentally controlled space) the Class Schedule Database, and policies and procedures that govern general assignment classroom allocation for instruction, final examinations, and special events.
- Experience working in a confidential university environment and/or equivalent training or experience.
- Knowledge of and/or ability to learn UC policy and procedures.
Salary & Benefits
- This is a full-time (40 hours/week), non-exempt, career position, eligible for full UC benefits.
- This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $27.46 - $29.40 (Step 4.0 - 7.0).

- This is a hybrid position, with 50% remote work eligibility.
- This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
