Departmental Overview
The Institute of Transportation Studies, Technology Transfer Program provides workshops, conferences, forums, training, seminars, and webinars to facilitate the mutual exchange of information between university researchers and practicing professionals, in order to carry out the program's mission to bridge transportation research and practice and to support the planning, design, construction, operation, and maintenance of efficient and state-of-the-art transportation systems through professional education and technology sharing. The primary purpose of this position is to independently provide all administration and logistics for in-person and online short course delivery, including planning, scheduling, and organizing courses; budget preparation and monitoring; contract management; instructor/speaker coordination, which may include travel, hiring and/or contracting; course material preparation; participant registration and revenue collection; facilities, audio-visual, catering, and other vendor recruitment, management and payment; and on-site course delivery support.

- Provides general administrative and office support to Program.

- Ensures smooth-running, effective events (online or in-person, on and off campus), by providing instructors/speakers with all necessary teaching tools, equipment, information, and instructions, and students with all necessary course materials and other supplies, and successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen.

- Plans, organizes, and identifies real and potential event locations and vendors.
- Secures venues (online or in-person facilities, on and off-campus), initiates, tracks to execution, and ensures payments following delivery on all facilities, vendors, and instructor's contracts and agreements.

- Manages online registration system for open enrollment courses and events, including handling and reconciling all financial transactions.
- Coordinates student lists for contract training and invoices contracted training.

- Consults with TechTransfer Director, and/or Training Program Manager, and/or training contract client on all details regarding events and event planning.
- Demonstrates good judgment in making decisions and managing events.

- Develops and implements event budgets.

- Contributes to and participates in long-range unit event planning.
Required Qualifications
- Highly developed interpersonal communication skills including political acumen and social perceptiveness.
- Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
- Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
- Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions.
- Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
- Strong computer skills to work efficiently in Word, Excel, PowerPoint, Adobe Acrobat Professional, and Google Apps.
Preferred Qualifications
- Bachelor's degree in related area and / or equivalent experience / training.
- Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
- Thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure.
- Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation.
- Demonstrates good judgment in making decisions and managing events.
- Skill in effectively meeting budget and time constraints.
- Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events.
- Skills to provide excellent donor stewardship.
- Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management's attention.
- Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
- Ability to effectively work with invited guests, donors, government officials and university VIPs.
- Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small-, medium- and large-scale gatherings.
- Ability to give clear directives and use independent, rational judgment to make optimal decisions.
- Knowledge and skill to set and monitor work standards and protocols.
- Familiar with online learning tools: Canvas LMS, Zoom, and AceWare/Student Manager.
