Stanford Distinguished Careers Institute
The Stanford Distinguished Careers Institute (DCI) seeks to improve the life journey of accomplished individuals in midlife by helping them renew their purpose, build a new community, and recalibrate wellness - physically, emotionally, and spiritually. DCI also seeks to foster intergenerational engagement in an academic setting to help create a new paradigm for the university of the future. The DCI enrolls between 40-45 Fellows and Partners annually for a year-long program. Participants are enrolled as non-matriculated graduate students, take a full-load of courses and engage in meaningful interactions with undergraduate and graduate students as well as faculty. In addition, a customized curriculum for Fellows includes discussion seminars that highlight both the intellectual richness of Stanford and personal transformation; opportunities to attend classes and participate in intergenerational learning at all levels in departments and interdisciplinary programs; colloquia on major societal and intellectual issues; and the construction of a purpose pathway for each fellow. Faculty advisors provide guidance and support.
The Distinguished Careers Institute is seeking a full-time Admissions and Student Services Advisor to manage the systems and communication associated with the admissions and recruitment process. As the number of applicants and the number of international applicants to DCI has grown, this position has become a significant and substantial role, taking on primary responsibility for key areas of student- and program-management, as well as interacting with the Executive Director and Faculty Director on strategic projects. This position has responsibility for the development and implementation of admission policies, evaluation of requests for financial aid, and coordination with the registrar and visa services for international Fellows. Additional responsibilities include conducting informational interviews with potential candidates, managing the interview schedule with the Executive and Faculty Director and managing candidate visits. Once candidates are admitted, the Student Services Advisor works closely with the Finance and Operations Specialist to ensure a smooth onboarding process, including finding housing and advising on schools and other services. In addition, this position supports efforts to engage Fellows and the program across campus and to enhance the program and its associated research initiatives. Responsibilities include support and connections for collaborations with Continuing Studies, the Community of Practice on working learners, and collaboration with Stanford's Center for Longevity and other special projects.
This individual must be knowledgeable about and be able to represent the program in meetings with other units across Stanford, as well as with members of DCI's Global Advisory Committee, fundraising, and recruitment committees. This role must have strong depth and breadth of knowledge of program participants and alumni and a thorough understanding of the program and program strategy.
Your responsibilities include:
- Managing the admissions process, including creating application documents, developing timeline and schedules, participating in candidate evaluations, and managing correspondence with candidates.
- Creating and updating an admissions management system for each admission season, tracking candidate progress and summarizing application data for final evaluation, including key attributes to ensure class balance and diversity.
- Working with the Executive Director as well as the Finance & Operations Specialist to evaluate requests for financial aid and provide documentation of awards.
- Working with international students and Bechtel International Center on visa requests and ensuring that all candidates meet Stanford requirements.
- Monitoring and updating admissions "funnel" weekly to determine candidate status and next steps.
- Providing summary statistical reporting of key class metrics.
- Collaborating with the Executive Director, Office of the Registrar and Bechtel International Students Office, to identify critical data needs for the application process, including data needed by various campus offices for enrollment and tracking purposes
- Serving as an administrator for Clarity Soft CRM - and as primary user for admissions and "leads" modules.
- Supporting all Fellows in pre-program on-boarding, relocation (housing, school, support resources), and connecting admitted Fellows with past alumni.
- Serving as the initial point of contact with the program, providing detailed information about DCI, as well as broad information about University resources in informational interviews with prospective candidates.
- Proactively seeking ways to streamline information and process efficiency in the areas of admissions, onboarding, and housing.
- Developing an eAdmit packet for sending admissions materials, tracking offers and acceptances.
- Regularly evaluating and updating the admissions calendar, appointment letters and offer letters based on University and program calendars and best-practices in other units on campus.
- In addition to responsibilities in the areas of admission and student support, this role supports a number of strategic initiatives for DCI, drawing on deep knowledge about the program and its participants, including:
- Supporting communication and coordination with DCI's Global Advisory Council on an ongoing basis and is key in planning their annual meeting.
- Identifying and training alumni and staff volunteers for strategic initiatives, such as alumni panels or recruiting support.
- Interfacing with key stakeholders at the University, including contributors to "Listening Tours" and focus groups with senior faculty, administrators, and students.

To be successful in the position, you will bring:
- Bachelor's degree and three years of relevant experience, or combination of education and relevant experience.
- Strong communication skills and the ability to work closely with senior executives and senior leaders at Stanford.
- Advanced problem-solving and analytical skills.
- Strong computer skills, including experience with Microsoft Office Suite.
- Advanced customer service skills.
- Attention to detail and the ability to multi-task.
- Understanding of financial transactions.
- Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.
In addition, preferred requirements include:
- Strong knowledge of Stanford University policies related to admissions and student visa processing desired.
- Knowledge of ClaritySoft (or other CRM) tools desirable.
- Ability to discretely and professionally address challenging issues for Fellows and their families (including health and other personal concerns).
- Familiarity with campus resources for students, including recreation, arts, and support services.
- Willingness to work flexible hours and attend community-building events.
