Departmental Overview
UC Berkeley's University Health Services (UHS) is a comprehensive college health service providing fully accredited, primary medical care, counseling and psychological services, and innovative health promotion programs for students, faculty, and staff. UHS provides on-campus medical care and coordinates supplemental needs for off-campus care through a network of community specialists and hospitals. UHS manages the student health insurance and workers' compensation insurance programs.
Approximately 65,000 visits occur annually including Primary Care, Urgent Care, Occupational Health and Specialty Clinics. Services are designed to minimize the impact of illness, emotional distress and injury on studies and work. The Social Services (SOS) unit offers short-term counseling, groups, case management and nutrition services to the campus student population. Counseling staff consists of social workers who provide compassionate specialty counseling on a range of specific and highly sensitive topics. Responsibilities
Referral Coordination:
- Primary liaison between clinical staff, specialty practices, insurance representatives and patients
- Collaborate with departments within UHS and coordinate a patient-centered referral process
- Maintain up-to-date contact lists for facilities, specialists and referral coordinators in the community
- FAX relevant referral documentation to specialists and confirm receipt
- Assist and advocate for patients who have appointment scheduling issues
- Ensure patients are scheduled in a timely manner for appointments in UHS or in external community organizations, as guided by clinician referral order urgency
- Ensure clinical consult notes/diagnostic reports are received from outside specialists in a timely manner, or as needed and requested by the ordering providers, includes accessing records from provider portals such as SutterLink, NorCal Imaging, and others as needed.
- Assist RN Care Manager to set up complex patient care follow up
- Ensure continuity of care and referrals close-the-loop through tracking and monitoring referral requests, authorizations, appointment reports, and patient follow up
- Maintain referral tracking system in the EHR
- Work with leadership to monitor referral utilization via biannual report out
- Assist with medical prior authorizations, scheduling, tracking and follow up
- Specific support of intercollegiate athletics sports medicine
- Coordinate efforts with athletic trainers and insurance representatives
- Assist with pre-certification and prior authorizations, scheduling, tracking and follow up
Administrative duties:
- Partner with Health Records to update scanned documents and external records in the patients' electronic charts
- Participate in meetings and committees including the Referral Workgroup
- Build relationships and provider networks with specialty practices in the community
- Enter (lab test results, diagnostic studies, letters, medical records, etc.,) into electronic medical records within HIPAA standards.
- Assist with responding to electronic communications (including email and secure messages) from patients, clinicians, claim adjusters
- Run reports, as needed, from the electronic medical record
- Support with scheduling appointments, and printing documents as needed
- Reports, intervenes appropriately and documents unsafe conditions and/or adverse patient conditions.
- Completes incident reports as per UHS protocol.
Other Duties as needed:
- Work on special projects as assigned by the Nurse manager
- Additional duties as assigned
Required Qualifications
- Extensive administrative and clerical experience in a fast-paced health care related setting.
- Experience using a computerized appointment system and multiple phone line systems
- Working knowledge of Microsoft Suite, and Google applications.
- Excellent customer service skills
- Excellent verbal and written communication skills
- Ability to understand and follow written protocols for patient care
- Must have basic understanding of medical terminology, human anatomy, and standard medical procedures
- Must have a general understanding of diagnosis codes and procedure codes
- Must understand and comply with HIPAA, and all regulations regarding the confidentiality of employee medical records
- Must be literate with computer applications for practice management, medical records and patient tracking.
- Must be able to work in a collaborative manner
- Must be flexible and willing to adapt work assignments in accordance with clinic needs
- Demonstrates responsibility and accountability for own practice.

Education:
- High school diploma or GED or equivalent training and / or experience.
Preferred Qualifications
- Prior experience in a health care clinic
- Specialized knowledge of insurance authorization, methods to track referrals
- Prior experience with Electronic Health Records and accessing records via provider portals
- More than 2 years experience in an administrative outpatient medical or medical insurance setting
Salary & Benefits

Your employment is dependent on obtaining and maintaining a credentialing clearance (if applicable), background clearance and medical clearance according to University Health Service policies.
This position is governed by the terms and conditions in the agreement for the Clerical & Allied Services Unit (CX) between the University of California and Teamsters Local 2010.
