DEPARTMENT OVERVIEW
Physical Planning, Development & Operations (PPDO) manages and oversees all University activities and services related to physical and environmental planning, design and construction, engineering, physical plant maintenance and operations, capital planning and space management, and the associated business services necessary to support these functions. The University's main campus is spread across more than 2,000 acres and includes over 500 buildings comprising more than 8 million square feet. The department includes operating budgets of over $48 million, manages a capital project portfolio of approximately $500 million, and employs nearly 300 full time staff to carry forth the duties necessary for the campus' development and operation.

JOB SUMMARY
Under the direction of the Grounds Services Manager, the incumbent will provide general administrative support for all divisions of Grounds services in the areas of planning, scheduling, administrative, clerical, and communication services. Duties will include assisting with recruitments, purchasing/contracts, emergency preparedness planning, ergonomic assessments, meeting agendas/minutes, office and space planning, supervising student employees, financial planning, analysis and reporting. Additional duties to include compiling data and developing budget and metrics reports, projections and analysis for sub-units of Grounds Services as well as for the Grounds Services management team as needed.

Salary Information: Salary Range: $28.34 - $30.29 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
40% - Administrative Support
- Act as an administrative resource for the Grounds Services units and its operation and functions.
- Assists with the administration of the Grounds Services and its related programs, projects, and activities which includes the following functions: scheduling, student worker support, internal group communications, information technology and safety support, Fleet management, and purchasing/contracts. Supports leadership team in Grounds Services by scheduling meetings and events, taking notes, tracking action items, performing follow-ups from meetings, supporting Grounds Analyst with data coordination and data management.
- Assists with responses to and/or field's inquiries, complaints, and concerns from various divisions, departments, outside agencies, concerning operational and work issues within the department. Working with Grounds Services management team, researches and resolves problems, provides guidance to the unit manager on action to be taken.
- Assists with the development of procedures, the simplification and streamlining of specified operations and/or responding to a particular unit need/issue. Initiates improvements in the efficiency of workflow.
- Assists Grounds Services management team in keeping job descriptions current, processing training requests, initiating employee action requests such as reclassifications, equities, stipends, etc. Obtain schedules and course instruction overviews. When requested, assists in the logistical and scheduling arrangement for each employee's attendance at the designated training course.
- Assists with search committees and processes paperwork from completed recruitment processes as requested.
- Other duties as assigned.
40% - Personnel Support
- Provides guidance to supervisors and managers in personnel policies and procedures; Assists as needed with new employee onboarding, offboarding, and various account access.
- Helps trains and provides support to student workers on administrative procedures, practices and implementation of policies, including timekeeping and payroll entry.
10% - Safety Coordination & Emergency Planning
- Assists with Emergency Preparedness planning and documentation for Grounds Services. Create flowcharts for Emergency Preparedness procedures, advise and assist supervisors with sub-unit procedures, ensure evacuation signage is up-to-date, set up annual employee Safety & CPR/AED/First Aid training. Prepare and update employee rosters, checklists and supplies. Maintain CERT training through UCSC Fire Department.
- Assists with IIPP program coordination for Grounds Services. Assist supervisors with implementation/upkeep of Safety Data Sheet (SDS) program/binders. Schedules monthly safety meetings and safety committee meetings for the unit, led by the Supervisors and EH&S.
- Serve as the Certified DEA, Department Ergonomics Assessor for Grounds Services and other PPDO units as needed. Assess employee's workstations, evaluate, make recommendations, coordinate design and implement changes. Process necessary paperwork for Ergonomic grants following strict UCSC guidelines.
10% - Special Projects
- Assists Grounds Services manager with administrative functions and reporting related to campus and UC system initiatives and mandates.
- Plans events for Grounds Services, including team building events, special gatherings, retirements, etc. Develop budgets, menus, and attendee list, create flyers, secure locations, and obtain unit signature approvals, while following UCSC guidelines, policies and procedures.
- Occasionally operates a University vehicle for university business both on campus and off.
REQUIRED QUALIFICATIONS
- Experience with administrative procedures and processes, including workflow efficiency using word processing, spreadsheet and database applications.
- Customer service skills.
- Ability to use sound judgment in responding to issues and concerns.
- Strong oral communication and interpersonal skills to communicate effectively.
- Working knowledge of common organization-specific and other computer application programs and office equipment (e.g. printers, scanners, MAC/PC
- computers, A/V equipment setup, and ability to troubleshoot network and Wi-FI connectivity issues).
- Strong organizational skills and ability to multi-task with demanding timeframes.
- Ability to cope with ambiguity and regularly shifting priorities and perform accurately and efficiently in a fast-paced environment.
- Ability to use discretion and maintain confidentiality.
PREFERRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Project management skills.
- Experience supervising students.
- Knowledge of UCSC policies, procedures, and systems, including knowledge of UCSC event planning procedures, travel reimbursement policies, and purchasing systems.

- Must possess a valid license to drive in the State of California.
