DEPARTMENT OVERVIEW
Physical Planning, Development & Operations (PPDO) manages and oversees all University activities and services related to physical and environmental planning, design and construction, engineering, physical plant maintenance and operations, capital planning and space management, and the associated business services necessary to support these functions. The University's main campus is spread across more than 2,000 acres and includes over 500 buildings comprising more than 8 million square feet. The department includes operating budgets of over $48 million, manages a capital project portfolio of approximately $500 million, and employs nearly 300 full time staff to carry forth the duties necessary for the campus' development and operation.

JOB SUMMARY
Under the supervision of the Planned Maintenance Manager, the successful respondent will independently provide a high level of administrative and project management support for the Planned Maintenance Administration. Quality work and strict attention to detail are high priority.

JOB DUTIES
35% - General Administrative Support
- Provide general administrative support; compose, review, edit and proofread Preventive Maintenance documents; assist with designing and developing spreadsheets and FAMIS Cost reports for supervisors and managers; organize and maintain daily working files. Notify customers of inspections, assist with concerns. Assist in improvements and enhancements to the database system for preventive maintenance program. Interpret technical equipment and parts descriptions and procedural information on confined entry, safety and other procedures on specific ways to work, with clarity and accuracy.
30% - Outside Vendor Support
- Assist with administering outside vendor fire extinguisher maintenance program including schedule and coordinating with vendor, review and approve vendor billing, prepare billing spreadsheet for Physical Plant Services Business Office, interface issues and changes with Campus Fire Marshal's office and assist with handling customer issues.
- Assist with maintaining Roof & Gutter vendor schedule and tracking report, update images and maps of campus buildings, review and distribute inspection reports, coordinate with vendor, review vendor billing.
- Assist with maintaining Filter Inventory.
- Create work orders for equipment tags.
- Manage elevator, electrical generator, air compressor, boiler, and cooling tower permitting and tracking process.
- Assist with maintaining annual and multi-annual Excel schedules for each shop. Verify Excel schedules with schedules in database.
- Provide Monthly Backlog Report to BU&FS Associate Director.
- Develop new equipment records and planned maintenance forms for new work.
- Assist with developing and maintaining PM Procedures Binder.
- Various other tasks to allow PM Manager to expand PM department roles.
10% - PM Development
- Assist with developing formats for annual, semi-annual, quarterly and monthly Preventive Maintenance templates. Assist with maintaining calendar and schedules. Assist with developing PM's for newly commissioned buildings and equipment.
15%
- Assist in data entry of equipment data records, preventive maintenance inspections and other data entry calculations using Excel and Word. Link data to corresponding schedules and reports.
10%
- Provide filing and other general office support. Take meeting minutes and maintain action item lists.
REQUIRED QUALIFICATIONS
- Computer literacy with knowledge of database, word processing, spreadsheet, email and the internet and ability to learn new systems. Fast, accurate data entry skills.
- Ability to comprehend, interpret and convey technical, procedural, and policy information with clarity and accuracy to the campus community.
- Work independently using good judgment to solve problems, adapt to change, monitor tasks to completion with minimal direction.
- Demonstrated filing and record keeping skills with ability to maintain strict attention to detail.
- Communication and interpersonal skills sufficient to demonstrate diplomacy, discretion and tact in relations with co-workers, and to interact in a professional, friendly, courteous manner with diverse campus groups and individuals.
- Organizational and time management skills sufficient to prioritize and independently follow through on tasks to completion under pressure of competing deadlines.
- Ability to work effectively both as part of a team and independently, exercising initiative and following through on assignments with minimal direction.
- Ability to follow oral and written instructions.

- Selected candidate will be required to pass a pre-employment criminal history background check.
