Departmental Overview
Residential and Student Services Programs (RSSP) is part of the Division of Student Affairs under the direction of the Associate Vice Chancellor of RSSP. RSSP provides undergraduate and graduate student housing, family housing, self-operated dining services, facilities services (maintenance, design, custodial, desk operations), as well as child care services for students, faculty, and staff. RSSP also conducts a year-round conference business, operates campus restaurants, and manages several faculty apartments.

Responsibilities
Project Information:
- Coordinates with and monitors project managers to ensure compliance with campus requirements in the maintenance and closeout of project information.
- Develops, monitors, and updates all project data files for RSSP facilities, as used by project managers, maintenance, custodial, grounds, Finance, Real Estate Division, Environment Health & Safety, and other outside design professionals, vendors or contractors.
- Receives requests regarding specific standards and data requirements, and ensures adherence to specifications.
- Updates and troubleshoots project tracking database.
- Regularly reviews facility project data for errors or omissions.
- Escalates problematic findings to management.
- Develops, maintains and reports project intake and status.
- Develops and maintains aggregated project information for reports to leadership.
Project Coordinator:
- Under direction, develops minor project scopes, investigates facility's needs, solicits bids, works with onsite contractors and other vendors to coordinate work schedules, facilitates access and tracks progress of work, and confirms timely closeout of project.
- Provides assistance to Project Managers on projects which may include conducting site visits to confirm existing conditions/dimensions; developing schedule documents and presentations; taking and distributing project meeting notes, handling field coordination with contractors and stakeholders.
- Submits and monitors project requisitions from initial purchase through receiving and payment of invoice, including service agreements, contracts, and standard low value orders.
- Follows-up on any problems related to orders, invoicing and/or reimbursements.
- Assists with surveys of existing conditions, especially during academic breaks.
- Takes initiative to make recommendations for other projects.
- Under direction, manages signage replacement.
Building Data Records:
- Acts as liaison between RSSP groups, Real Estate Division, EH&S, UCOP, and outside design professionals to research, produce, and summarize building data requests.
- Maintains building records and responds to all client requests for building data such as: size, occupancy, and other related information including UC Risk, ADA rooms, condition assessments, and storage.
- Supports RSSP Central Maintenance operations with building data, researches building questions, resolves building records discrepancies.
- Under direction, assists with management of the RSSP Plan Room, building specification documents, manuals, files.
- Under direction, manages the RSSP Design Group product library.
Capital Improvement Projects Planning:
- Works with management to coordinate capital improvement projects with Real Estate Division, and participates in meetings concerning capital improvements to departmental facilities.
- Under direction, develops spreadsheets, project lists, program documents and presentations related to capital improvement programs, plans, and schedules.
Function as Facilities Team Member:
- May act as department representative for department/campus special projects related to department facilities.
- Assists management in development of annual facilities budget.
- Assists management with occasional administrative and office duties.
Required Qualifications
- Working knowledge of practices and procedures relating to facility maintenance and construction.
- Working knowledge of practices and procedures of safety and emergency preparedness.
- High level proficiency in Excel or other spreadsheet application (including creating charts and pivot tables), Word or other word processing application.
- Skills to work under pressure of deadlines in a stressful environment.
- Organizational skills to work on multiple projects with competing deadlines, to establish goals and work load priorities, and to meet project deadlines within budget and time constraints.
- Written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents.
- Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships.
- Skills to work independently and as part of a team.
- Ability to achieve an extremely high level of accuracy in all work performed.
- Bachelor's degree in related area, building construction, architecture, design, project management, and/or equivalent experience/training.
Preferred Qualifications
- Proficiency in Campus programs such as Cal Answers financial reporting, BearBuy and bluCard purchasing; knowledge of Unifier project management tool.
- Proficiency in PowerPoint or similar presentation application.
- Knowledge of Photoshop, InDesign or similar applications.
- Knowledge of Microsoft Project and Access, Filemaker, Tableau, or similar applications.
- Knowledge of California Building Codes and understanding of industry practices.
Salary & Benefits
This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid bi-weekly and eligible for full UC Benefits. Hourly pay for this role is commensurate with experience within the range of $35.44 - $36.88.
