DEPARTMENT OVERVIEW
Capital Planning and Space Management (CPSM) is a unit within the Division of Finance Operations and Administration (FOA). The Division includes a broad and diverse set of operational units that provides and maintains administrative, student development and physical infrastructure that supports the mission of the campus. As a member of FOA, CPSM supports the Office of the Chancellor and Campus Provost/Executive Vice Chancellor in the areas of capital financial planning and policy analysis. In this capacity, CPSM develops and maintains relevant databases, provides analyses of policies and programs, assists in the determination of campus priorities, and in the development of strategies designed to achieve these priorities. CPSM is responsible for capital planning, space management, programming, management and utilization aspects of the campus capital improvement and space management programs; coordinates with the Office of Budget Analysis and Planning regarding the capital budget, and the execution of special studies as may be necessary to enable the Chancellor and Campus Provost/Executive Vice Chancellor to discharge his/her responsibilities in these areas.

Uses skills as an experienced, administrative operations professional to manage, plan and administer the operations of a project oriented, small non-academic department. Demonstrates good judgement in selecting methods and techniques for obtaining solutions. Supervises students. Reports to the Director of CPSM.

JOB DUTIES
40% - Project Management
- Manages and tracks the workflow of a project-oriented unit from project intake through completion, identifies progress, interrelationship among projects and individual project and unit-wide critical path relationships using project scheduling software.
- Identifies and resolves roadblocks to maintain project workflow / progress, and reports on the associated impact of a project on the timelines developed for project completion. Advises on the unit's work distribution and workload.
- Manages CPSM project close-out including fiscal and inventory processes, and other space management documents and protocols.
- Works with planning and design & construction staff to create, coordinate, and / or maintain graphic or written reports or dashboards for distribution to the campus community, or as required by UCOP, that tracks workflow attributes, status, or interdependency.
40% - Committee Participation
- Serves on various campus-wide building and space-planning committees. Provides staff support as needed including but not limited to: the creation of reports, development of agendas, management of meeting preparation, minutes and engagement with membership and campus-wide leadership. Maintain committee timelines.
20% - Process Development
- Supports the director by developing, recommending and implementing procedures for administrative operations including, but not limited to: designing, developing and maintaining dashboards, web pages, reports; and preparing documentation. May occasionally supervise students.
REQUIRED QUALIFICATIONS
- Proficient in, MS suite and Google Drive products, in particular MS Project, MS Excel /Google Sheets and ability to manage large databases; working knowledge of graphic presentation programs such as MS PowerPoint, and AutoCAD.
- Demonstrated knowledge of website platforms, ability to create dashboards, post information and maintain content accuracy.
- Knowledge of the operation of offices that perform design and construction activities; working knowledge of design & construction project life cycle, and ability to read construction documents, and knowledge of committee structure and procedures.
- Strong organizational skills especially as they relate to project tracking, committee and office protocol.
- Demonstrated ability to solve problems independently.
- Proficient in math, and interpreting spreadsheets and financial documents.
- Maintains a high level of accuracy.
- Excellent writing and editing skills; demonstrated ability to communicate well through written and graphic means.
- Excellent interpersonal skills. Demonstrated ability to communicate well verbally.
- Ability to use discretion and maintain confidentiality.

- Selected candidate will be required to pass a pre-employment criminal history background check.
- Must possess a valid license to drive in the state of California.
