POSITION OVERVIEW
The Director of Facilities is responsible for the year-round management of the department. They are expected to set and achieve progressive goals for Facilities Management to improve efficiencies, productivity, and community service satisfaction. They are responsible for the management, training, and scheduling of all departmental staff and for implementing departmental protocols. This includes but is not limited to; effective use and management of a computerized maintenance management system (CMMS), establishing and implementing an organized Facilities Maintenance Procedures Manual, and Preventative Maintenance Program, and a Physical Plant Resource Library consisting of O&M Manuals, infrastructure maps, building specifications, building plans, and as-built drawings. Other primary responsibilities include establishing priorities for Deferred Maintenance, and Facilities Renewal through the use of the CMMS for Capital Forecasting and the Facilities Condition Assessments for each building.
The responsibilities of this position require regular visits to campus facilities, including using stairs and ladders in campus buildings and construction sites. The scope of the job frequently requires working in the evenings and on weekends. This position might be able to provide housing on campus and/or a small relocation allowance.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Ensures the success of the department by coordinating the development of goals and objectives that are consistent with and supportive of the institutional mission of the campus, implementing organisational, procedural, or staffing changes for Facilities Maintenance, Grounds Services, and Custodial Services within the context of Facilities Management's goals and objectives, and evaluating progress toward their achievement.
- Coordinates the delivery of essential services by organising deliverables in a logical, non-duplicative, and effective manner that best meets the work requirements and mission of the department and the physical needs of the campus. Establishes appropriate policies and procedures that promote a philosophy of strong service-oriented to students, faculty, and staff.
- Evaluates the condition of all campus buildings and facilities through a review of professional audits of the facilities, and uses the information to document the current condition and compliance with health, life safety, and building codes. Provides management plans for Long Range, Mid-Range, and Annual Capital Renewal. Advises the VP for Campus Planning/FM of the status of existing campus facilities regarding life safety requirements, makes recommendations for corrective action against unsafe conditions and provides recommendations for corrective action in long-range plans.
- Facilitates the development of an overall plan for recommended repairs and renovations of existing campus buildings and facilities to maximize the efficiency of the current inventory while providing for future expansion, by analyzing the data from facilities audits that identify and prioritize repairs and renovations consistent with the leadership goals and the campus master plan, identifying capital renewal projects, assessing staffing and funding levels required to maintain campus facilities, understanding the impact of repairs and/or renovations on existing buildings and facilities, mechanical, electrical, structural, and related systems, and making recommendations to the VP for Campus Planning /FM.
- Develops an effective and efficient staff by hiring qualified applicants, training personnel to departmental standards, establishing work duties and assigning work appropriate to employees' capabilities, and evaluating performance. Coordinates staffing schedules to provide the support necessary to meet the needs of the Academy, Summer Programs, and Special Events. This includes the use of contracted services beyond the department's capability to provide needed services.
- Provides for a safe campus environment by directing the development of appropriate contingency plans that anticipate requirements for extraordinary grounds, maintenance, and custodial efforts under emergency conditions and include the use of contracted services beyond the department's capability to provide needed services.
- Maintains an accurate Computer Maintenance Management System (CMMS) that records, stores, and retrieves repair, maintenance, and construction activities for all facilities on campus and ensures equipment and building systems are given proper maintenance through an effective preventative maintenance program to promote the longest possible life and incorporates the project data for new facilities and equipment.
- Develops processes and implements protocols and/or policies that will improve building and infrastructure management campus-wide.
- Establishes and maintains inventory and management of all departmental supplies and assets through CMMS Inventory Direct.
- Assists the VP for Campus Planning/FM in the preparation of the operating budget for the department and manages the budget through monthly review and reconciliation of departmental Income and Expense Reports and provides updates to the VP for Campus Planning/FM.
- Assists the VP for Campus Planning/FM by supporting the campus sustainability program, managing campus utilities with a focus on efficient use of energy resources and using new technology for energy conservation that is in the long-term best interest of campus facility management.
- Reduces the Foundation's reliance on outside construction contractors for less significant projects by providing in-house construction support from the Plant Operations team and assesses the effectiveness of using the campus team, and recommends ways to make the process more efficient.
- Remains competent and current through self-directed professional development, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed by the VP for Campus Planning/FM.
- Assists the VP for Campus Planning/FM in preparation of all reporting required by the Building and Grounds Committees regarding the status of work being done by the Facilities Management Department. The Director will likely be required to attend committee meetings.
- Contributes to the overall success of the Department of Facilities Management by performing all other duties and responsibilities as assigned.

QUALIFICATIONS
- Five years experience in the management of a physical plant, construction management, or as a Facilities Manager or Director.
- Lives within 30 miles of the campus.
- Management and Leadership skills, particularly problem-solving and decision-making as well as organizational and supervisory skills.
- Strong verbal and written communication skills.
- Computer literacy, particularly in the use of automated work order systems.
- The ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.
PREFERRED QUALIFICATIONS
- Bachelor's degree in Management, Business Administration, Construction Management, or a related field
- Experience at an educational institution.

PHYSICAL DEMANDS / WORK ENVIRONMENT
While performing the duties of this position, an incumbent may be required to:
- Regularly remain sedentary for long periods of time in meetings and while processing information and paper work both manually and on a computer.
- Reach with the hands, arms, and use of hands to finger, type, and manipulate a computer keyboard and mouse.
- Additionally, the incumbent must be able to converse in clear English both written and orally, over a telephone and in person.
- Occasionally, incumbents may be required to lift up to 50 pounds, traverse uneven terrain and climb stairs while moving about campus, bend and stoop, conduct tours and show visitors campus facilities.
- Work hours vary and may include days, nights, and weekends.
OTHER REQUIREMENTS
- Ability and desire to work within the Idyllwild community, Riverside County, or commute a reasonable distance, that does not impede on-time arrival during winter months.
- Obtain and maintain a valid California Driver License. Clean driving record.
- Pass a LiveScan check as required by California Education Code Section 44237.
- Pass a TB test.
