DEPARTMENT OVERVIEW
Physical Planning, Development & Operations (PPDO) manages and oversees all University activities and services related to physical and environmental planning, design and construction, engineering, physical plant maintenance and operations, capital planning and space management, and the associated business services necessary to support these functions. The University's main campus is spread across more than 2,000 acres and includes over 500 buildings comprising more than 8 million square feet. The department includes operating budgets of over $49 million, manages a capital project portfolio of approximately $800 million, and employs over 350 full time staff to carry forth the duties necessary for the campus' development and operation.

JOB SUMMARY
Uses knowledge of records management and University policies and internal procedures to take care of records management issues. Resolves a wide range of issues in consultation with supervisor, works on records management issues of moderate scope where analysis requires evaluation of identifiable factors. Exercises judgment within defined procedures and practices to determine appropriate action.
Uses knowledge of records management and University policies and internal procedures to manage responsibilities including: development, oversight, clear organization, and maintenance of systems and archives (digital and paper) to provide secure storage as well as ready retrieval of information in support of PPDO for all planning, design, and construction documents; construction document administration, as well as oversight of technical project assistance functions including research, duplication and digitization.
Includes coordination with student employees to optimize collective archiving efforts. Act as resource regarding archiving policies and resources for student archivists.
APPOINTMENT INFORMATION
Budgeted Salary: $28.44/hour.

JOB DUTIES
40% - Document Archiving
- Coordinates archival activities including: inactive records storage (on- and off-campus) and disposal; maintenance of drawing register, asset register, flat files, construction job files, contracts, and specifications of electronic files and hard copy materials. Ensures proper records destruction processes are completed.
- Reviews, analyzes, classifies and indexes records, or consults others in these areas in accordance with established records management procedures. Assists with recommending and implementing new and/or updated records management procedures.
- Provides personnel with records regarding campus utilities, equipment specifications, existence of underground structures, construction details, contract documents and provisions, warranty information, and maintenance and repair manuals.
40% - Construction Document Administration
- Oversees and coordinates construction administration document processes for all projects, act as a liaison to project teams and ensure proper and expedient receipt, analysis, classification, processing, tracking, distribution, approval, and archiving of all construction administration documents (including but not limited to requests for information, submittals, transmittals, warranties, inspection logs, photographs, meeting notes, requests for proposals, requests for qualifications, field orders, change orders, change requests, punch lists, plan reviews, letters of instructions, warranty deficiencies, bulletins, clarifications, reports, memos, manuals, cost proposals, and schedules). Supports project managers in the document review processes between PPDO and other campus departments at key milestones during the design phases of capital projects.
15% - Student Supervision
- Supervises student workers and ensures optimum customer service and quality assurance for all archival research, reproduction, and technical project assistance requests processed by Records Department staff.
5% - Other
- Other duties as assigned.
REQUIRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience and / or training.
- Knowledge of records management principles and practices.
- Strong communication and interpersonal skills to communicate effectively with all levels of staff both verbally and in writing.
- Demonstrated experience with Microsoft Office Suite, Adobe Acrobat, Google Suite and general office applications.
- Understanding of and experience with current technology to establish and maintain files and technical records, both in digital and paper form. Experience developing and maintaining digital and paper archives.
- Ability to handle challenging situations with tact and diplomacy.
- Ability to work independently, handling multiple priorities and meeting established timeframes.
- Strong organizational skills and ability to multi-task with demanding timeframes.
- Ability to supervise and give direction to student staff.
- Knowledge of architectural and engineering administrative practices including methodology and terminology.
- Successful related experience in a public works construction setting.
SPECIAL CONDITIONS OF EMPLOYMENT
- Selected candidate will be required to pass a pre-employment criminal history background check.
- Ability to work long periods of time at a computer with or without accommodation.
- Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
