RiverRock Real Estate Group is looking for a Property Assistant/Project Coordinator to assist our Property Management team in our San Francisco office. Successful candidate should have the following skills and experience:
SUMMARY
Receives all service request calls, determines nature of problem, and dispatches appropriate vendor or property engineer; track tenant and vendor insurance requirements; Provide administrative and analytical support for Property Managers; coordinate receipt and disbursement of property management reports, invoices for approval and payment, compiling reports, status reports, monitor upkeep of property management files and records and handle special projects as assigned.
Promotes a high level of satisfaction among occupants by promptly responding to their service requirements - assures prompt response by other team members and vendor service contractors through dispatch, voice mail and/or other direct contact.
Reflects RREGs commitment to excellence through proper telephone procedures and quality customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES
(Other duties may be assigned.)
Dispatches routine tenant service requests and maintains log of all service requests.
Facilitates establishment of constructive relationships between occupants and management office.
Assists service contractors with property access procedures established by the Chief Engineer.
Prepares memos, correspondence, reports, and other documents to assist General Manager and Chief Engineer.
Processes purchase orders.
Processes payables for payment.
Obtains W-9 Forms from all new vendors.
Track tenant and vendor insurance requirements
Maintains access card request log, processes requests and prepares occupant approvals.
Prepares appropriate paperwork to bill tenant for after hours HVAC and/or electrical meter charges.
Assists with bid walks.
Assists with budget preparation.
Prepares service contracts for approval by Property Manager
Generates calls regarding payment of rent
ADDITIONAL DUTIES AND RESPONSIBILITIES (includes the following. Other duties may be assigned)
Orders signage and directory strips.
Updates emergency contact list and distributes to team.
Prepares and implements tenant service program activities such as emergency procedures training, etc.
Performs monthly janitorial inspections.
Assists with development and production of property manuals.
