The Department of Mail and Package Services
The Associate Director of Mail and Package Operations is responsible for the day-to-day operations of the university's mail and package program. This includes overseeing the processing, delivery, and tracking of mail and packages for students, faculty, and staff. The Associate Director also works with campus partners to ensure that mail and package services are aligned with the university's mission and strategic goals.
Core Duties:
- Responsible for strategic leadership of the University mail and package program including the distribution warehouse, locker distribution strategy, and mail centers.
- Assists with developing campuswide protocol for student mail distribution and retail strategy.
- Performs complex ongoing analysis of package volume vs. available space, optimize distribution of packages so that they can be received in a timely manner. Based on the analysis of year over year package volume and associated locations, expand additional lockers to support the ongoing university need.
- Work directly with major carriers, including Amazon, to optimize the supply chain, including timing of bulk delivery to campus for redistribution to students same day.
- Responsible for campus wide locker strategy, including internal and external (i.e., Amazon lockers).
- Responsible for strategic leadership of future shipping of packages off campus, which will serves as a centralized mailing center for the campus. This includes interfacing, strategizing and compliance with USPS, FedEx, and UPS leadership.
- Maintains strong relationships with carriers to ensure competitive pricing and efficient channels of communication.
- Responsible for accompanying technology strategy for providing shipping services to the campus community
- Develops, monitors and reconciles departmental budget. Reviews budgets monthly, quarterly and annually to ensure that operations are within budget and in compliance with policy, while promoting innovation and managing performance of the team. Determines adjustments to budget, forecasts, and expenditures as needed. Analyzes the budget to continually update and assess aggressive, innovative and entrepreneurial business development plans for shipping and locker distribution expansion. Includes review and establishment of unit objectives, redefining pricing strategies, establishing marketing opportunities, and analyzing target customer populations.
- Leverages budget and operational data in alignment with strategic objectives to draft business development plans which forecast staffing, financial and operational needs for new or modified programs.
- Oversees the team managing the mailroom activities including receiving, sorting, distributing, collecting and processing of incoming and outgoing mail and packages.
- Serves as primary coordinator of daily operations. Serves as an escalation point of contact for operational issues, client services, employee concerns, and vendor concerns.
- Assist in hiring as needed. On a quarterly basis, identifies hiring needs, recommends recruitment activities and timing, and coordinates student job postings and other recruitment related efforts. Screens applications, interviews candidates and makes selection decisions for hire. Coordinates shift schedules and adjusts assigned hours as needed according to business need.
- Responsible for training and overseeing the mailroom staff.
- Provide work direction to assigned staff and/or student employees as appropriate under direction of division leadership. Ensure team members complete assignments using established guidelines, procedures, and policies.
- Demonstrates and coaches others to provide excellent customer service and anticipate customer needs, both internally and externally
- Balalces workloads of delivery and mail room employees as needed to achieve delivery goals
- Manages all software, data and analytics to optimize operations and anticipate and solve problems
- Oversee all distribution of packages and mail across the universities
- Manage all logistics and distribution of mail and packages delivery across campus
- Create and oversee workflow from warehouse to delivery destinations
- Manage all contractors involved in mail and package delivery
Minimum Education and Experience Required
Bachelor's degree and five years of relevant experience in administrative and financial management, or combination of education and relevant experience.

The expected pay range for this position is $117,000.00 to $185,000.00 per annum/hour.
