Job Description
The Associate Director will be responsible for all LBRE assigned buildings on the Stanford campus (i.e. Bonair Buildings, Bonair Replacement Project, District Work Centers, CEF, Newark Warehouse) and LBRE controlled space (i.e. academic building mechanical spaces). Will create, organize, and control buildings and grounds management standards and implementation including inventory control, space design, and space usage requirements for all LBRE Stanford campus facilities, fleet, and inventory. Will partner with other LBRE departments such as Department of Project Management (DPM), University Architect / Campus Planning & Design (UA/CPD), Buildings & Grounds Maintenance (BGM), Transportation, and Sustainability, Utilities &Infrastructure (SUI) for development, operation, and maintenance of LBRE Stanford campus facilities. Will formulate and ensure compliance with operating standards including rules, regulations and procedures related to buildings and grounds management. Emphasized is the candidate's ability to build community, and reach consensus on sometimes opposing views of how to solve and implement new policy and rules that will improve LBRE's operational effectiveness. The role will manage a staff of two full-time employees, occasional temp and part-time staff, and a future receptionist position for the new 560 Fremont Road building. Will lead strategic planning for LBRE facilities, including construction projects, capital budget, space design, facility maintenance and renovations. They will partner with other LBRE departments on the design and development of all LBRE facilities, as well as formulating and overseeing all operating rules, regulations and procedures related to the buildings. Specific duties and responsibilities include the following:
Space Standards
- Managing LBRE Space- Once space is assigned by UA, managing how that space is used for LBRE
- Assigning LBRE space- Partnering with UA to assess space needs when asked
- LBRE Conference Room Management on the Stanford campus
- Overseeing what is stored in all LBRE space (mechanical rooms in buildings included)
- Responsible for keeping spaces clean and maintained
- LBRE Common Space protocol (kitchens, conference rooms, locker rooms)
- Inventory control standards in all LBRE spaces
- Advise on the allocation of LBRE office space and provide oversight for office moves and transfers of equipment, furniture, files, and miscellaneous items
- Coordination with SRWC around space equity
- Developing and managing logistics and storage policy for the Newark warehouse (45,000 sf).
LBRE Vehicles and Bikes (excluding Marguerite vehicles)
- Responsible for LBRE vehicles regarding numbers, usage, technology
- Overseeing solution providers around vehicle management, GPS tracking, mobile refueling
- Overseeing all LBRE service vehicle parking spaces
- Negotiating contracts with third-party vendors
- LBRE vehicle inspections (cleanliness, organization of materials/equipment, exterior of vehicle condition)
- Meeting with vendors, consultants and PG&E to look at funding options and long-term plan to meet our emissions goals; partner with SUI on this project
- Procuring and managing a fleet management software system to manage LBRE fleet (excluding Marguerite vehicles)
- Implementing a motor pool program for LBRE focused on vehicle reduction and sharing
- Determining level 2 charging needs for LBRE Stanford campus fleet
- Managing fleet budget and develop a fleet renewal plan
- Overseeing capital budget for LBRE fleet vehicles (excluding Marguerite vehicles)
LBRE Building Management -
- Overseeing LBRE building access, lockers, and security for Stanford campus facilities
- Serving as the single point of contact for all LBRE Stanford campus buildings
- Serving as the single point of contact for all LBRE facility work orders
- Managing all LBRE building inspections (SUFMO, fire marshal, etc.)
- Overseeing a program for shop for cleanliness/ organization
- Overseeing tool crib/ centrally managed equipment
- Hiring and managing a receptionist for the new 560 Fremont facility
Newark Warehouse
- Overseeing warehouse design/purpose including HUB workplace project
- Negotiating and oversee third party warehouse contractors
- Serving as program manager for the space allocation and materials logistics for the Newark warehouse
- Managing approximately 20 external vendors that service the Newark warehouse and the renewal projects
- Managing the Newark HUB and warehouse budget
- Partnering with Business Affairs around HUB workplace project in Newark
Contract Management
- Managing all LBRE shared services contracts such as Printers (repairs), coffee/food (delivery, stocking levels), Office supplies (ordering, organization, management), First aid kits (inspect, manage Cintas relationship) on Stanford campus
- Managing current and future LBRE fleet contracts (excluding Marguerite vehicles)
- Managing LBREs long term vision around space and fleet
Project Management Support
- Serving as point of contact for all contractor work in Bonair yard
- Attending all construction meetings when Bonair campus, 560 Fremont, or DWC are impacted
- Serving as liaison between safety and contractors during road and construction work in Bonair
- Serving as program Manager of future 560 Fremont Road project
- Meeting with contractors to do job walks, supervise work being done
- Assisting with shop design for future shops
- Serving as LBRE lead in the transition and long-term program planning of LBRE's new offices at 560 Fremont Road
- Serving as program manager and main point of contract for all LBRE space projects
Education & Experience:
Bachelor's degree in engineering or other appropriate technical area, or combination of technical education, training, and experience. Five or more years of experience managing facilities operations and maintenance staff in an environment with a variety of building types.
Knowledge, Skills and Abilities:
- Knowledge of environmental and safety rules, regulations, and policies. Ability to conduct job site inspections to ensure compliance.
- Demonstrated ability to work and communicate effectively with others.
- Demonstrated experience managing service contracts.
- Demonstrated experience developing and managing budgets.
- Demonstrated experience planning, developing, and implementing programs.
- Ability to interpret planning specifications, documents, working drawings, and related reports.
Certifications and Licenses:
PHYSICAL REQUIREMENTS*:
- Frequently sitting, perform desk-based computer tasks, lift/carry/push/pull objects that weigh up to 10 pounds.
- Occasionally stand/walk, twist/bend/stoop/squat, grasp lightly/fine manipulation, use a telephone, lift/carry/push/pull objects that weigh up to 11-20 pounds.

WORKING CONDITIONS:
- Requires 24-hour response availability seven days per week for emergency situations.

The expected pay range for this position is $108,000 to $157,000 per annum.
