The Ambulatory Care Supervisor (ACS) is responsible for sustaining an environment of intrinsic goodwill for the practice while providing optimum services to patients. The ACS position serves as an office supervisor and functions under the direction of the Department Manager, to supervise a large group of employees and provide accountability as delegated for the day-to-day operations of the designated clinic location(s). The ACS is responsible for the direct supervision and development of clerical and clinical support staff positions in conjunction with the Department Manager.
Responsibilities include but are not limited to:
Assisting with establishing staffing requirements and assignments to staff
Respond to questions from staff regarding workflow, work process, or unusual circumstances
Conduct weekly/monthly staff meetings in conjunction with the Department Manager
Assist in identifying and providing opportunities for staff to obtain further training and expertise, which will enhance skill levels and job performance
Maintain an efficient flow of information between clerical back-office staff, management, and physicians
Monitor and adjust work assignments to provide adequate coverage for all positions supervised
Coordinate with Nurse Manager or Supervisor, or department back office leads and Department Manager for back-office workflow delegation
Serve as resource person for staff to answer questions and resolve problems
Participate in activities related to physician schedules, template maintenance; and scheduling parameters to monitor and provide appropriate patient access
Assist with coordinating communication regarding provider time off and/or call coverage
Compile data for monthly statistical reports as requested by the Department Manager
Proficiency in the operation of computer systems and applications necessary for clinic staff to perform their primary job functions

Bachelor's degree in a closely related area OR equivalent experience and training
A demonstrated minimum of 3 years of recent Ambulatory Experience
Demonstrated recent Supervisory experience
Ability to efficiently use computer system applications for all functions required for this position including electronic mail, spreadsheets, word processing, and medical office management, (i.e. scheduling, template maintenance, maintenance of demographic and insurance information.)
Filing skills to maintain logs and files of information in alphabetical, chronological, and/or numerical order, such that it is current and easily retrievable
Demonstrated ability to work independently
Demonstrated decision-making skills that reflect the ability to supervise a specified unit of workers
Must be able to represent assigned unit serving as subject matter expert and resource person for the staff

Knowledge of practices and protocols related to medical office procedures, (i.e. medical terminology, appointments, medical records, insurance verification. Cashiering, billing, etc.
Knowledge of all pertinent laws, regulations, and guidelines governing medical records; confidentiality, privacy, and provision to others, including HIPAA
Knowledge of health care insurance systems, which may include Medi-Cal, MediCare, HMO, PPO, fee-for-service, county-funded coverage, and workers' compensation, sufficient to properly obtain and track authorizations, appoint patients, make referrals for consults, diagnostics, and ancillary services, coordinate hospital services complete and submit billing documentation, and explain provisions and requirements to patients
Knowledge of ICD-9, CPT and HCPCS coding sufficient to identify services performed; including diagnoses, procedures, and supplies
Skills to interview applicants utilizing effective screening techniques. Knowledge of standard hiring protocols
Ability to objectively and constructively
Evaluate employee performances relating to specific job descriptions, standards of performance, and goals
Ability to train, supervise, and offer conflict resolution
Administer disciplinary action; initiate and follow through with corrective action up to and including dismissal
Ability to understand human motivation and needs and encourage employee development and initiative

The UC Davis Department of Obstetrics and Gynecology is committed to providing the highest quality care to women in every stage of their life, whether she is seeking contraceptive or fertility advice, care during and after pregnancy, or treatment for menopausal symptoms. The OBGYN Clinic completes approximately 25,000 visits per year at the Ambulatory Care Center and in Sacramento. In addition to general obstetrics and gynecology, services are provided in the subspecialties of Dysplasia, Endocrinology, Perinatology, Prenatal Diagnosis, Oncology, Urogynecology, and Family Planning. The OBGYN department provides abortion services.
