Position Information:UC Riverside's Auxiliary Facilities Services is recruiting for the Assistant Director, Auxiliary Facilities Administrative Operations. The full salary range for the Assistant Director is $90,400 - $169,000 annually. However, the expected pay scale for this position is up to $110,050 annually. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
Under the supervision of the Senior Director, Auxiliary Facilities, the Assistant Director, Administrative Operations provides leadership and oversight to critical functions of the unit including serving as primary for FAMIS 360system daily usage/infrastructure/updates and establishment of a work order, asset management and customer service team. This team will have daily oversight of centralized and streamlined work order intake/processing, aging and costing reports, procurement, parts/asset/equipment inventories and follow up to customer service inquiries. Position directly supervises functional and support staff, both full time career and student level, to ensure needs of the maintenance, custodial, resource management and project groupings are met as well as broader organization initiatives are progressing. Take lead on and continually improve the Preventative Maintenance program along with processing of all documentation to automate service and assist with equipment longevity. Participate in budget development/management and accounting processes including recharges and general billing. Closely work with campus Facilities Services (FS) to ensure Grounds and Fire/Life/Safety MOU's are fulfilled, updated and re-negotiated annually; holds dotted reporting line to Housing/Dining/TAPS Grounds Supervisor(s) and will communicate regularly with FS staff to foster a collaborative work environment. Track and follow up on Fire Safety items and required testing with Campus Fire Marshal office to collectively ensure compliance. Assist Sr. Director on emergency planning, response and recovery for Auxiliary Services. Responsible for IIPP program management and compliance. Assist unit and AS at large with local/state/federal law changes that affect our properties. Work with campus partners such as Environmental Health & Safety, Planning, Design & Construction, Campus Fire Marshal, Office for Emergency Management and represent unit on various work groups and committees. Serves on Auxiliary Services emergency team, trained and expected to respond to incidents of varying levels.

Minimum Requirements
Solid knowledge of policies and procedures relative to facilities maintenance, equipment, customer service, dispatch, building maintenance, safety and emergency preparedness. Demonstrated interpersonal skills, including active listening, critical thinking, ability to multi-task effectively, persuasion/negotiation, mentoring, leadership/supervision, problem solving, operations analysis and quality control analysis. Solid knowledge in supervising facility maintenance and improvements along with building maintenance work to include one or more of the following: basic plumbing and pipefitting, carpentry, painting and plastering, service of machinery, electrical maintenance and custodial. Strong communication skills and ability to articulate information across varied groups to ensure common understanding both verbally and written. Ability to implement and manage service level agreements; indirectly supervise and closely collaborate with staff who provide those services to ensure home department needs are met. Knowledge of facility Preventative Maintenance programs and how to optimize them. Ability to train various levels of staff on processes, systems and equipment both verbally, visually and in writing. Ability to provide effective leadership to direct reports and close collaboration with various staff across organization and campus.
Preferred Qualifications
Understanding of work order systems and reporting; able to manage upgrades and program improvements. Establish and tightly monitor inventory system and routine tracking of materials, supplies, parts, furnishings and equipment. Includes ordering, meeting par levels and loss mitigation. Emergency management, response and recovery responsibilities. Knowledge of Auxiliary or higher education type industry and understanding of multi-unit organizations. Ability to read floor plans.
