The USC department of Facilities Planning and Management (FPM) â CAD Services is seeking a GIS and Asset Documents Program Assistant to join its team.
THE WORK YOU WILL DO
The GIS and Asset Documents Program Assistant is responsible for assisting in the planning and implementation of a variety of services and activities. Coordinates the archival of facility close-out documents and GIS program activities for FPM units and other departments/units. Assists and leads in the development and management of program procedures, standards, and other related duties as required. Coordinates the acquisition and management of related data, software, and hardware systems. Researches and recommends new techniques and applications to improve efficiency, coordination, and delivery of program-related projects, data, and activities. Leads and supervises student workers.
The GIS and Asset Documents Program Assistant:
- Coordinates program services and/or activities. Schedules classes, meetings and/or events. Provides leadership and guidance for student workers and/or volunteers. Arranges with vendors for services. Ensures satisfactory follow through on assigned areas of responsibility.
- Coordinates production and distribution of program materials including meeting agendas, reports, informational materials, marketing materials, etc.
- Researches and gathers information for program purposes which may include: program effectiveness, client needs assessment, budget preparation, etc. Conducts preliminary analysis of data. Submits recommendations and prepares reports, as assigned.
- Provides client services by responding to inquiries and requests for information regarding specific program functions.
- Coordinates program services with other offices and staff on campus. Serves as a resource for program information. Represents program on university committees as requested.
- Coordinate the acquisition and management of data and file management as it pertains to CAD, GIS, and related project close-out files.
- Assist in short/long term planning and design of program direction and objectives. Plan, develop, and implement program related project goals and strategies. Coordinate facilities units CAD, Facility Documents, and GIS activities and projects.
- Manage the maintenance of hardware and software system.
- Assists in program budget preparation and administration. Research cost. Tracks and monitors budget expenditures. Reports on variances.
- Performs other related duties as assigned or requested. The university reserves the right to add or change duties at any time.
PREFERRED QUALIFICATIONS
The ideal candidate for the position of GIS and Asset Documents Program Assistant meets the following criteria:
- 2 years of administrative support or program support services in directly related field
- Professional degree in the field of Architecture, Construction management, Civil Engineering, Geography, or GIS
- Experience using Arcmap, ArcGIS Pro, ArcGIS Server, ArcGIS Online, Arc Collector as applied to facilities management or design and construction
- Experience in the use of AutoCAD Map, Excel, Databases, GPS, and SQL
- Experience in Blueprint reading as it relates to Civil, MEP and site utility trades
- Experience in a diverse fast paced service-oriented environment
MINIMUM QUALIFICATIONSÂ Â
Candidates for the position of GIS and Asset Documents Program Assistant must meet the following qualifications:
- Bachelors degree; however, combined experience/education as a substitute for minimum education
- 1 year of experience in administrative support services; however, combined education/experience as substitute for minimum experience
